Privacy Policy
This policy describes how Unzima handles information when you use our website at unzima.com and our WhatsApp AI platform at agent.unzima.com.
Last updated: September 8, 2026
1. Introduction
Unzima ("we", "us", or "our") operates the website at unzima.com — including our lead capture page at /get-started — and a multi-tenant WhatsApp AI assistant platform at agent.unzima.com that helps businesses manage customer conversations, knowledge bases, and automated replies. This Privacy Policy explains how we collect, use, store, and protect information when you use our website, dashboard, and related services (collectively, the "Service"). By using our website, submitting a form, creating an account, or contacting us, you agree to the practices described in this policy.
2. Information we collect
We may collect the following types of information: Website and inquiry data: full name, email address, phone number, business name, current website URL, and project description when you fill out our contact or lead form, book a call through Calendly, or email us directly. Account information: name, email address, company or workspace name, and authentication details when you sign up or sign in to our WhatsApp AI platform. WhatsApp and messaging data: phone numbers, message content, conversation history, contact names, and metadata required to receive and send WhatsApp messages on your behalf. Business content: documents you upload to your knowledge base (such as PDF, DOCX, or text files), AI agent configuration, system prompts, and Google Sheets automation settings you configure. Usage, analytics, and advertising data: pages visited, approximate location, browser type, device information, referral source, log data, and interactions collected through analytics tools and the Meta (Facebook) Pixel — including page views, form submissions marked as leads, and data used to measure ad performance.
3. How we use your information
We use collected information to: Respond to your inquiries and provide consultations about our services. Store and review lead submissions submitted through our website, and send internal notifications to our team when a new inquiry is received. Provide and operate the Service, including storing messages, running AI-powered replies, and connecting your WhatsApp Business account. Authenticate users and enforce multi-tenant data isolation so each workspace only accesses its own data. Process documents for search and retrieval (RAG) to generate responses aligned with your business content. Send automated messages you configure, including Google Sheets–triggered outreach. Improve our website, services, and user experience. Measure the performance of our marketing campaigns and advertisements. Maintain security, prevent abuse, troubleshoot issues, and improve product performance. Communicate with you about your account, support requests, project inquiries, or important service updates.
4. AI processing
To generate replies, we may send relevant message content and retrieved knowledge-base excerpts to third-party AI providers (such as Google Gemini) solely to produce responses for your workspace. We do not use your content to train public AI models on your behalf unless a provider's terms explicitly state otherwise and you have agreed to those terms.
5. Cookies and tracking technologies
Our website uses cookies and similar technologies to understand how visitors use the site and to measure advertising performance. The Meta Pixel may set cookies or use similar technologies to recognize your browser and collect usage data. You can control cookies through your browser settings and, where available, through ad preference tools offered by Meta. Vercel Analytics collects aggregated, privacy-focused usage data to help us understand site traffic.
6. Third-party services
The Service relies on trusted third parties, including: Google (Google Sheets, Google Apps Script, and AI models) — to store and process form submissions, run automations, and generate AI responses where enabled. Supabase — authentication and database hosting for our WhatsApp AI platform. Meta Platforms (Facebook Pixel and WhatsApp Cloud API) — for advertising measurement and for sending and receiving WhatsApp messages. Vercel — for website hosting and privacy-friendly analytics. Calendly — when you choose to schedule a meeting through our booking link. Cloud hosting providers (such as Railway) — application and infrastructure hosting. These providers process data according to their own privacy policies and only as needed to deliver the Service.
7. Data retention
We retain personal information for as long as necessary to respond to your inquiry, provide our services, maintain business records, and comply with legal obligations. Lead form data is kept for as long as needed for business and follow-up purposes unless you request deletion. For our WhatsApp AI platform, we retain your information for as long as your account is active or as needed to provide the Service. Message history, uploaded documents, and configuration data remain in your workspace until you delete them or close your account, subject to applicable backup and legal retention requirements.
8. Data sharing
We do not sell your personal information. We may share data only: With service providers that help us operate the Service, under confidentiality obligations. When required by law, regulation, legal process, or to protect rights, safety, and security. In connection with a merger, acquisition, or sale of assets, with notice where appropriate. With your direction — for example, when your AI agent replies to your customers on WhatsApp.
9. Security
We use reasonable technical and organizational measures to protect your data, including tenant isolation, encrypted connections (HTTPS), and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
10. Your rights and choices
Depending on your location, you may have rights to access, correct, delete, or export your personal data, or to object to or restrict certain processing. You can update account details in the dashboard or contact us to make a request. You may also disconnect WhatsApp or delete uploaded content at any time from your workspace settings. To exercise any of these rights regarding our website or lead forms, contact us using the details below. We will respond within a reasonable timeframe.
11. International transfers
Your information may be processed in countries other than your own, including where our service providers operate. We take steps to ensure appropriate safeguards are in place when data is transferred internationally.
12. Third-party links
Our website may contain links to third-party websites or services, including Calendly, Instagram, LinkedIn, and agent.unzima.com. We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies before providing any personal information.
13. Children's privacy
Our website and services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will take steps to delete it.
14. Changes to this policy
We may update this Privacy Policy from time to time. We will post the revised version on this page and update the "Last updated" date. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
